Physical Medicine & Pain Management
Physical Medicine and Pain Management Associates presented a unique opportunity for us to demonstrate all of our Medical Consulting services. We have worked closely with PMPMA to implement a HIPAA Compliant computer environment, incorporating E-Prescriptions, Electronic Health Records, and Remote Work/VPN (Work-From-Home) capabilities. Their Email & Website system integrates with their Practice Management and EHR System, and we are currently working with them on a fresh Marketing campaign to develop a new corporate image.
With the many unique opportunities offered by PMPMA, we also encountered many unique challenges. When we started with PMPMA, their computer system was presenting several issues to users, including slow performance, viruses, and frequent file/profile loss. Their configuration consisted of four older model servers that ran their Practice Management (PM) System and their Active Directory System, and an older DSL Internet configuration with networking between their three offices around the state. Users were burdened with slow performance, especially in their remote locations, Password requirements were not up to HIPAA standards, systems were several years behind on updates—causing frequent popups for users, and many users were reporting viruses on their systems. We laid out a migration & upgrade plan to move them from their current system to a newer, EHR-Capable System.
We began updating and improving their system by repairing the individual computers—removing viruses, running all Windows and 3rd Party Application updates, and rebuilding/replacing any computers suffering from software or hardware defects. We consolidated their servers down to two servers- one dedicated to EHR/PM and the other dedicated to Active Directory. We took away Roaming Profiles which were causing slow startup times and slow performance on the machines, and replaced them with a system that instead pointed all user files directly to the server. We then replaced their DSL internet, with Verizon FIOS, enhanced their internal network with faster networking equipment, and installed new routers capable of handling more traffic to and from their remote locations. All work was completed after regular business hours to avoid interruption with their daily routines and done in a manner as to exceed HIPAA/HITECH compliance regulations. A tech was on site every day after updates & maintenance were performed to answer any user questions/assist in any way they could.
After addressing the initial performance issues, we began optimizing their daily routines to increase efficiency. We first setup redundant internet connections between each location to prevent against any system downtime. We setup redundant file backups for all users and for their PM/EHR program in the event of any natural disaster or unforeseen circumstance resulting in file loss. We enabled users and providers alike to be able to work from anywhere with a VPN/Remote Work feature, and setup the foundation for a paperless workplace and file sharing system. Automatic updates were enabled to run after business hours for both Windows and for 3rd Party Applications. Technicians also provided training to individual users and worked with each user to help further optimize their individual routine.
With the IT system in place and efficiency work in progress, we turned to their website and marketing campaign. We worked closely with the Providers to develop content unique to the company to give the business its own unique feel. We made sure to not utilize content from outside sources so their advertisements and resources would stand out from others. The process started by developing a custom website, designed by one of our designers and then implementing the design onto a Wordpress Content Management System (CMS). We worked with each provider in their area of expertise to develop content for each section of the site, as well as develop pivotal advertising points for the business centralized around the achievements of the providers and the practice as a whole.
After completing the website, we launched a massive e-marketing campaign to bolster search engine returns on search giants like Google and Yahoo!. We turned our attention then to the print media, utilizing our design work and custom content developed during website development. Together with PMPMA, we produced custom brochures, booklets, and Magazine ads for the company that run in several local and statewide magazines such as What’s Up Annapolis and Your Health Magazine. Our advertising campaigns integrate into their Practice Management system to track referrals and returns from these advertisements and web marketing.
