Calvert Orthopeadic
Calvert Orthopeadic and Sports Medicine was much like PMPMA with their needs. They came to us with an older Practice Management System (CBSI) and asked us to help them prepare for Electronic Health Records (EHR) and comply with the newer HIPAA/HITECH compliance standards. They had recently purchased new computers for their practice, but had no centralized system for user management, security issues with shared/simplistic passwords, and no system for file sharing between their three locations or document backup.
After taking time to carefully speak with each employee at the practice, and discussing the goals with the owners of the company, we began setting up a centralized system for computer and user management. We took care to backup all user documents, favorites, and program lists from each computer from all locations. A central Active Directory server was brought in to manage users, computers, and file sharing/backup. User accounts were created for each employee and provider, documents were backed up on the server and then to our remote server for redundancy. The remote locations were then networked with the main locations and user profiles were setup to allow for document access from any computer in any location. Shared folders were setup to allow for shared documents and improved office efficiency. New networked printers were purchased to allow for shared printers in the office to free up desk space and further improve office efficiency. All work was performed over a weekend while the office was closed to avoid interruption of daily office activity. After the initial migration to the new system, a technician on site for the following two days to help users adjust to the new system and answer any questions.
Once the new system was established, we began preparations for EHR, taking care to raise security and redundancy to HIPAA & HITECH compliance. New EHR compliant equipment was purchased for the practice and its providers, new High-Speed internet connections were setup to support remote access to the system, and redundant internet connection equipment was put in place. Remote access to the system was also granted to specified employees and providers. All computers and the central server were setup to automatically update both Windows and 3rd Party Applications. Calvert Orthopeadic is now fully ready for EHR, and meets all HIPAA & HITECH compliance standards.
